The Problem

The accounting team exported Shopify orders to CSV and manually matched them against Stripe payouts and QuickBooks records each month. The process took a full week and frequently produced reconciliation gaps that took additional days to resolve.

Our Approach

  • Deployed self-hosted n8n to the client's existing cloud infrastructure
  • Built a daily sync workflow pulling Shopify orders and Stripe payouts
  • Mapped SKUs to QuickBooks items and automated invoice creation
  • Implemented reconciliation checks with Slack alerts on mismatches
  • Added historical backfill for the prior 12 months of data

The Outcome

Daily reconciliation now runs automatically and catches discrepancies within 24 hours instead of 30 days. Monthly close moved from 7 business days to 4.
